    Your Document Information

    Next to each of the different document types listed in the Select Document drop-down menu above, it will show either an RD or an NRD. This will inform you whether you need to have your documents notarized before submitting them to us.

    ■ Recordable Document (RD) = These documents DO NOT require notarization. They must be the original or a certified copy (NO PHOTOCOPIES) that can only be issued by a Texas city or county clerk’s office or Texas Vital Statistics/Texas Vital Records. You CANNOT drop off recordable documents to us that were issued from another state (non-Texas) or another country. TEXAS ONLY!

    ■ Non-Recordable Document (NRD) = These documents must be signed originals (NO PHOTOCOPIES) and be properly notarized, either by wet ink or online, by a Texas notary public. You cannot drop off non-recordable documents to us that were notarized by a notary public from another state (outside of Texas) or a foreign country. TEXAS NOTARIES ONLY!

    A Texas notary public must print and sign their name exactly as it appears on their state-issued Texas notary stamp on every document that you want apostilled in Texas.

    If the Texas notary public signs or prints their name differently anywhere on a document from what is listed on their official Texas notary stamp, the Texas Secretary of State will reject the document due to a notarial error.

    Below is a screenshot of what the official Texas Secretary of State rejection letter will say if this happens.

    The way the document signer’s name is shown and printed within the body of your legal document is exactly how the Texas notary public must print it in the notary jurat or acknowledgment area, as shown below.

    For example, suppose the document signer’s name is printed on your legal document as John D. Doe or Jane D. Doe. In that case, the Texas notary public MUST print the name in the notary jurat or acknowledgement area exactly as John D. Doe and Jane D. Doe, not John Doe or Jane Doe or John Jackson Doe or Jane Jackson Doe. A Texas notary public must always use the exact middle name or initial spelling of the document signer in the notary jurat that is used within the body of the legal document they are notarizing. 

    The exact Texas notary jurat or acknowledgment verbiage (this must be written entirely in English and no other language) shown below must be listed on every non-recordable document (any document that has been notarized) that you drop off to us. If the Texas notary jurat or acknowledgement verbiage shown below is not on your non-recordable document, you cannot drop it off to us, and you will need to have your document properly notarized first.

    You may only include one set of Texas notary verbiage on your non-recordable documents. Choose either the Texas notary jurat text (first one below) or the Texas notary acknowledgment text (second one below). DO NOT include both sets (only one set) on your non-recordable document.

    Corporation documents such as: Texas Articles of Conversion, Texas Articles of Incorporation, Texas Articles of Organization, Texas Authorization of Agent, Texas Assumed Name Certificate Form 503, Texas Certificate of Amendment, Texas Certificate of Conversion, Texas Certificate of Correction Form 403, Texas Certificate of Existence, Texas Certificate of Fact, Texas Certificate of Formation, Texas Certificate of Good Standing, Texas Certificate of Incorporation, Texas Certificate of Limited Partnership, Texas Certificate of Organization, Texas Certification of Origin, and Texas Franchise Tax Public Information Reports.

    ■ All federally classified documents, such as a U.S. Certificate of Naturalization, U.S. Trademarks/Patents, U.S. Certificate to Foreign Government, and FBI Criminal Background Check Reports and FBI Identity History Summary Checks, CANNOT be apostilled by the Texas Secretary of State.     ■ You can only choose ONE foreign (non-USA) country per document. The Texas Secretary of State will only issue ONE apostille certificate for ONE document and ONE foreign (non-USA) country. This means the Texas Secretary of State will not issue multiple apostille certificates or issue apostilles for multiple countries on one document.

    ■ We strongly urge you to scan or take a photo of any non-recordable documents (any notarized documents) and email them to us before you drop them off so we can verify they have been properly prepared and notarized. If you ignore this step (take us up on our free non-recordable document email review) before you drop off your documents to us, and your documents are rejected by the Texas Secretary of State because of errors made by you or the notary you hired.

    You will need to redo your documents (get them properly signed and notarized) and pay our full apostille service fees again to attempt to apostille all your documents with the Texas Secretary of State a second time. We do not want this to ever happen to you, but we cannot help you avoid having your non-recordable documents (any notarized document) rejected by the Texas Secretary of State unless you email them to us for a FREE document review (you cannot drop off documents to us to review). All documents you drop off to us will always be filed with the Texas Secretary of State and either accepted or rejected by the Texas Secretary of State.

    ■ All Texas Secretary of State government document filing fees are included in our flat-fee rush Texas apostille service pricing. You do not mail or drop off a check, cashier’s check, or money order made out to the Texas Secretary of State for state document filing fees because we pay that fee, not you. 

    ■ Because we will be rushing to file your documents physically in person at the Texas Secretary of State’s office on your behalf, you DO NOT complete or mail, email, or drop off to us the Texas Apostille Form 2102 or Texas Apostille Form 2103 (for foreign adoptions only). We have a different apostille order form that we must complete and submit to the State of Texas, along with your documents, when doing rush Texas apostille filings.

    ■ When creating and buying a FedEx, UPS, or DHL prepaid return shipping label, they will ask you for a sender’s address (from address), which means that if your documents get lost in the mail, the sender’s address is the return address to which the undelivered documents will be sent back to you by FedEx, UPS, or DHL.

    You must put your name and address or your company’s name and address as the sender (from address) on the prepaid shipping label and/or on the customs invoice if shipping internationally. Depending on what foreign country you live in outside the U.S, the FedEx, UPS, or DHL online system may detect your foreign IP address and not allow you to use your foreign address as the sender (from address). If this happens, you will need to list a friend’s, relative’s, or company office address within the U.S. as the sender (from address).

    You CANNOT put our company name (Apostille Texas), address, or phone number as the sender or importer because we are not the sender or importer. The sender/importer is you because you created and paid for the prepaid return shipping label, not us, and you are 100% responsible for paying all current shipping and any future customs charges when shipping internationally.

    We will not mail your documents back to you if you mail, email, or drop off to us a prepaid return shipping label or a customs invoice that incorrectly lists our company name, phone number, or address anywhere on it. FedEx, UPS, and DHL attempt to collect unpaid shipping bills from our company because people and companies do not pay their full shipping charges and customs fees when shipping internationally.

    ■ Our Texas same-day document-filing services’ cutoff time is 12:00 PM CST, Monday-Friday. If we receive your documents by drop-off after 12:00 PM CST, your documents will not normally be submitted to the Texas Secretary of State office until the following business day.

    ■ As of May 15, 2024, the Texas Secretary of State drastically changed its Texas apostille filing turnaround time policies. Depending on how many total documents are submitted to them in person per day by any person or company, your documents might not be issued an apostille certificate by the Texas Secretary of State until 48 hours (TWO BUSINESS DAYS) after we same-day file your documents with the Texas Secretary of State. This could happen even if we receive your documents by drop-off before or by our 12:00 pm CST filing deadline.

    If this happens, we will notify you via email to purchase a prepaid return FedEx or UPS shipping label. Then drop the shipping label off at our office or email the prepaid return label PDF to us so we can mail your documents back to you (or to wherever and whomever you want them sent, which is up to you) once the Texas Secretary of State issues your apostille certificate.

    If you do not provide us with a prepaid return shipping label, you will have to travel back to our office within two or three business days after you drop off your documents.

    Please do not return to our office until we confirm that the Texas Secretary of State has issued your apostille certificate. We will email you to let you know when your documents have been apostilled and are ready to be picked up. In this scenario, if you drop off documents to us on a Monday, your documents will not be issued apostilles until Tuesday-Thursday.
